Data retention options
Data retention options ensure that data files and log entries are not retained indefinitely.
Exported files are saved on the web server file system waiting to be downloaded. As the number of exports increase over time so does the amount of disk space being used on the server to store the export files. To limit the amount of exported files saved to the web servers at any one time each exported file has a lifetime, defaulted to 3 days. When a export file is older than the configured lifetime it will be removed by a background task that runs daily at 11pm.
The Data file lifetime setting allows you to adjust the number of days a data file will reside on the server file system.
To set how long a file is retained navigate to XForms Pro > Settings > General Settings and update the Data file lifetime value under _Data Management. Once set to the desired number of days, click Save. Files cannot be retained indefinitely, the maximum lifetime for a file is 10 days.
Accessing deleted data files
If a data file has been deleted the export will need to be rerun. A warning message will be displayed when trying to download the files
Click the Run Again button to rerun the export using the same export criteria as when the original files were created. See Rerunning a previously run export.
Log entries (notifications, file access and API logs) are retained for a limited time, defaulted to 180 days. Log entries are deleted when they're older than the configured lifetime by a background task that runs daily at 11pm.
To set how long a log entry is retained navigate to XForms Pro > Settings > General Settings and update the Log lifetime value under Data Management. Once set to the desired number of days, click Save.
